Anyone born from about the 1970s or earlier may just about remember typewriters. Often large, mechanical and cumbersome, these machines were actually god-sends for writers, journalists, secretaries, academics – anyone at the time who needed to produce large chunks of text on a regular basis. Typewriters offered a very convenient alternative to the tedium of handwriting thousands of words.

Alas, the advent of the internet era and the subsequent computer-ubiquity it brought has consigned typewriters to the history books. Word-processing software has been a mainstay in offices, homes, schools, universities and many other institutions for well over a decade now and it’s hard to imagine how we ever got by before.

Problems can arise when sharing such documents. For example, if a file created in Microsoft Word 2007 is then emailed to someone with an earlier version of the software, the chances are they won’t be able to access the file properly without downloading an add-on for compatibility. Even then, some of the advanced features of the later version may display differently in the earlier version.

Thus, the portable document format (PDF) was created in the early 1990s, to help with the exchanging and sharing of documents created in a multitude of formats. A file containing stylised text, images and graphics is combined to create a single PDF file that displays the same on any screen and prints the same on any printer.

The PDF file format also helps circumvent issues relating to security as it is – for all intents and purposes – a non-editable format. If you circulate a Microsoft Word document for example, people can make changes to it, which may be against the wishes of the document creator.

Converting a file from an editable format such as Microsoft Word into a non-editable format such as PDF creates a ‘final’ version of the document. It can’t be easily changed, and it can be made high-resolution and ‘print-ready’. Furthermore, PDFs can be password-protected so only those with permission will have access.

If the document isn’t for print purposes, many PDF creators offer varying degrees of compression, suitable for different purposes, from screen-display only, to e-book quality and prepress.

Which PDF reader software you opt for too will depend on your needs. Many people simply need something that they can read PDFs with and most readers will do just that and nothing else. More advanced programmes will offer features such as file creation or the ability to read other types of file as well as PDFs.
